As a brand known for innovation and efficiency, Grundfos wanted its event experience to reflect those same values — streamlined, professional, and tech-enabled. With attendees arriving throughout the evening and many registering on-site, they needed a modern, sustainable way to manage check-in and badge printing without bottlenecks or waste.

We sat down with David Horsley, Marketing Project Manager at Grundfos, to talk about how Expo Pass helped the BASEMENT Taproom Events run more efficiently, and in line with the company’s forward-thinking approach.

The Challenge

Before Expo Pass, Grundfos was printing badges ahead of time for those who pre-registered, then manually managing walk-ins:

“We had one event… and all of a sudden I was looking down and we have 50 people that are trying to get in — But I can’t just let them in and not know who’s here.”

“I knew very early on this could be a nightmare. If you’re not getting those people checked in quickly, they might just turn around and go.”

The team wound up writing down names to input into a spreadsheet later. The whole process was inefficient, and also wasteful:

“We would have a table of 75 printed badges for pre-registered attendees. And at the end of the night, we’d inevitably have some no-shows, and we were just throwing those away. We’re known as a very sustainable company — and that just didn’t feel very sustainable.”

“We’ve basically used the cellular function every time because sometimes the wifi in these areas can cause problems — and that’s worked really well.”

“With Expo Pass, we were able to reduce the resources needed to man the registration process, allowing team members to focus on other important aspects of the event.”

“We just scan the QR code on the badge and it enters them into that secondary list… It’s really smooth. We’ve noticed people kind of enjoy it, too. They will come in like, ‘Oh, I want to get scanned!’”
